Documenting complaints so the next shift can act
A one-page complaint log template supervisors use after our workshops—and why vague notes waste the next morning.
Complaints handled well at 8 p.m. fall apart at 8 a.m. when the log says “unhappy about price” and nobody knows what was promised.
Fields worth capturing
- Time and location (register number, room number, desk)
- Customer’s stated issue in their words
- What you offered or explained
- Whether manager involvement occurred
- Follow-up needed and by whom
Tone of the note
Write for a colleague who did not hear the conversation. Avoid labels like “difficult.” Describe behavior: “raised voice,” “asked for written confirmation.”
